This page covers the HydroLogik website and the records we keep about people who buy from us. It is deliberately specific: it says what we actually hold, not what we might one day.

What you give us through the website

  • The dealer application — your business name, your name, email, phone, website, city, the type and size of your business, the tier and models you are interested in, and anything you write in the message box.
  • The contact form — your name, email, company, the topic you chose, and your message.

With each submission we store the IP address it came from and your browser's user agent string. That is used to investigate abuse of the forms and for nothing else.

What we keep if you buy from us

Buying a monitor, or joining the dealer programme, creates a commercial record. It holds your name and business name, your email and phone number, your billing and shipping addresses, what you ordered and what it cost, whether it has been paid, the carrier and tracking number of the shipment, and the serial numbers of the units that went to you.

We also keep an internal log of changes to those records — who changed what, and when. It exists so that a disputed price or address has an answer, and it is visible only to our staff. Where a dealer made the change, the log records which person at which dealership made it.

Payment card details are never on our systems. Payments are taken through a payment provider; we record only a reference and the amount.

The dealer portal

Dealers and service partners sign in to a portal on this site. We hold the name, email address and password of each person who has been given access, when they were invited and when they last signed in. Passwords are stored hashed and cannot be read by us or recovered — only reset. Access is created by invitation; there is no sign-up form.

Dealers can record where they installed a monitor, which means we may hold a property label, an address, and the name and telephone number of somebody to call about that tub — details about a third party, entered by the dealer rather than by the person concerned. We hold it so the dealer's own fleet page can name a property and so support can help them on a call. We do not contact those people, market to them, or pass the details to anyone else, and we keep the field set deliberately small. If you are named on such a record and want it removed, email us at the address below and we will remove it and tell the dealer we have.

A dealer does not see the readings from a monitor unless its owner has shared it with them. Installing a unit does not grant that; the owner grants it in the app and can withdraw it at any time. Until they do, the dealer sees only the serial number, the model, the warranty and the order it came on.

Why we have it

To reply to you, to fulfil and support what you bought, to honour the warranty, and to meet the record-keeping the law requires of a business that sells things. We do not sell it, rent it, or pass it to anyone beyond the companies below.

Who else touches it

  • Our hosting provider, which runs the server this site is on.
  • Our network provider, which carries every request to this site and, on our two forms, checks that a person rather than a script is sending them.
  • Our email provider, which delivers our replies and notifications.
  • The carrier that delivers your order, which needs your delivery address.
  • Our payment provider, which handles the transaction.

Each acts on our instructions for that purpose only. The site sets one cookie, a session cookie that exists so the forms are protected against cross-site request forgery, and our staff sign-in uses one of its own. Neither is used to track you, and there is no advertising or analytics tracker on this site at all.

How long we keep it

  • Enquiries and applications that do not become orders: while the conversation is live and for two years afterwards, then deleted.
  • Orders, invoices and shipping records: seven years, because Canadian tax law requires business records to be kept that long.
  • Warranty and unit records: for the life of the device and its warranty, so a claim years from now can be honoured.
  • Install records entered by a dealer: for the life of the unit's warranty, and then with the commercial record of the order it belongs to.
  • Dealer portal accounts: while the account is in use. When somebody leaves a dealership their access is withdrawn immediately, but the account itself is kept rather than deleted, because our change log points at it and "who changed this address" must keep having an answer.

Your data, and how to reach us

You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email [email protected] and we will action it within thirty days. Where a record is one we are legally required to retain — an invoice, for instance — we will say so rather than quietly keeping it.

Devices

If you own a HydroLogik monitor, the readings it sends are covered by the terms you accept in the app when you claim the device, not by this page.
